As orders grow, a clear process is more useful than memory. Defined statuses and organised preparation areas show what can be handed over and what needs attention.
Use clear order statuses
Choose a few statuses the team understands, such as under review, being prepared and ready for collection. Move orders forward only after the work is complete.
- Define each status.
- Assign responsibility for updates.
- Record why an order is on hold.
A simple shared register can be enough to start with.
Separate shipments by readiness
Keep completed orders in a dedicated area, away from orders awaiting products or address details.
Agree on a consistent way to attach order references when more than one person prepares packages.
Coordinate the collection list
Review shipment counts, references and special requirements before the agreed collection. Communicate changes through the agreed channel.
- Match the list to actual parcels.
- Identify shipments with special requirements.
- Document handover as agreed.
An order added to a list is not automatically confirmed for collection.
Close the loop after handover
Update statuses to reflect what actually happened and keep the references needed for follow-up.
Handing a parcel to a delivery provider is a different stage from delivery to the customer.
